OhmDoc ("we," "our," or "us") is a product of RenewSpark. We are committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard information when you use the OhmDoc mobile application and website (ohmdoc.com).
1. Information We Collect
We collect the following types of information depending on how you use OhmDoc:
- Account Information: Name, email address, company name, department, and role when you create an account.
- Usage Data: Information about how you interact with the app, including features accessed, sessions created, and test results entered.
- Equipment & Test Data: Unit inventory records, test results, PDF reports, and any data you enter into test sheets.
- Device Information: Device type, operating system version, and app version for diagnostic and support purposes.
- Crash Reports: Anonymized crash and error data collected via Firebase Crashlytics to help us improve app stability.
2. How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve the OhmDoc app and services
- Sync your data across devices when cloud storage is enabled
- Generate PDF reports and analytics based on your test data
- Power the optional AI assistant with the access level you configure
- Respond to support requests and communicate with you about your account
- Diagnose technical issues and improve app performance
- Comply with legal obligations
3. Data Storage Options
OhmDoc offers three data storage modes which you control:
- Local Vault: All data stays on your device only. Nothing is sent to external servers. Maximum privacy, no internet required.
- Company Database: Data is stored on your organization's own server or database infrastructure. Data never leaves your environment.
- OhmDoc Cloud (RenewSpark hosted): Data is stored in our encrypted cloud infrastructure (Firebase / Google Cloud). Data is encrypted in transit and at rest. This option requires a Pro or Business plan.
You choose your storage mode during account setup. Your data storage preference can be viewed in Company Settings at any time.
4. AI Assistant & Data Access
The OhmDoc AI assistant is optional and off by default. If you enable it, you choose the data access level:
- Disabled: AI is off. No data is shared with any AI service.
- Setup Assistant: AI can help configure test sheets and schemas. No access to your unit data, test results, or company records.
- Field Intelligence: AI has full access to your inventory, test history, and results to provide operational insights and analysis.
Enterprise customers may bring their own AI model or API key. In that case, your data is governed by your organization's AI provider agreement, not OhmDoc's.
5. Information Sharing
We do not sell your personal information. We do not share your data with third parties for advertising purposes. We may share information only in the following limited circumstances:
- Service Providers: We use Firebase (Google) for cloud hosting, authentication, and crash reporting. These providers are bound by data processing agreements.
- Legal Requirements: If required by law, court order, or government authority.
- Business Transfer: In the event of a merger, acquisition, or sale of assets, your data may transfer to the acquiring entity with advance notice to you.
6. Data Security
We implement industry-standard security measures to protect your information, including encryption in transit (TLS) and encryption at rest for cloud-stored data. However, no method of transmission over the internet is 100% secure. We encourage you to use strong PINs and to report any suspected security issues to support@ohmdoc.com.
7. Data Retention
We retain your data for as long as your account is active or as needed to provide our services. If you delete your account, we will delete or anonymize your data within 30 days, except where retention is required by law.
8. Children's Privacy
OhmDoc is designed for professional use by adults in industrial and utility settings. We do not knowingly collect information from anyone under 18 years of age. If we become aware that a minor has provided us with personal information, we will delete it promptly.
9. Your Rights
Depending on your location, you may have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate data
- Request deletion of your data
- Export your data in a portable format
- Opt out of certain data processing activities

10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of significant changes by updating the effective date at the top of this page and, where appropriate, sending a notice to the email address associated with your account.
